FAQ

Who can apply?
Emerging or established BC artists, designers and producers with products that are both designed and locally made. Vendor categories are Art, Family Fashion, Jewelry, Home Decor, Skincare, Baby & Kids, Pets, Gourmet Food or Non-Alcoholic Beverage, Distillery, Winery or Brewery, Food Truck, Literary (Canadian Works) & Interactive (Face Painting, Henna Body Art, Hair Braiding, Portrait Illustration, Tarot Reading, etc…). 

How do I pay?
Once notification of acceptance is received, vendors are required to provide electronic payment via PayPal or certified cheque, within three business days of acceptance notification OR one business day, when the market date is scheduled within a two-week period. If the application is submitted after the application deadline, payment is due immediately upon receipt of invoice. If booking payment is not received when due, the booked spot will be immediately released and given to the next applicant on the waiting list. Portobello West mailing address for cheque payment is:

What does my vendor fee go towards?
Portobello West Market is produced by the Vancouver Fashion and Art Market Society, a registered non-profit organization. All vendor fees are applied towards the operating costs of Portobello West Market including: permits, administration, venue and equipment rentals, supplies, advertising, and more.

What is your cancellation and refund policy?

  • Cancellations of a market made by a vendor more than 31-days before the market date will receive a 50% refund with no exceptions.
  • Cancellations of a market made by a vendor less than 31-days before the market date will receive no refund with no exceptions.
  • Cancellations of a market made by the City of Vancouver due to COVID and/or natural disasters such as smoke due to forest fires will have booking fee(s) rolled over and applied towards a future market date with no refund. No exceptions.

Can I share my table with another vendor?
Our booking policy does NOT permit the sharing of vendor tables and/or vendor booths.

Do I need insurance?

Vendor insurance is mandatory and must be must be emailed to manager.van@portobellowest.com once booking is confirmed. We suggest DUUO Insurance for vendors requiring one-day insurance priced at approximately $15/day. If you have annual Commercial Liability Insurance, we require from your insurance company a separate one-page document (not your actual annual policy) that includes: a $2,000,000 minimum specified in Commercial General Liability, Portobello West’s event name, date and address correctly listed and Additional Insured listed as: Vancouver Fashion & Art Market Society O/A Portobello West.

Can I leave my items overnight?

You can leave your merchandise and set-up overnight during two-day markets, based on your personal comfort level. The venue is secure and will be locked. Please note that you’re liable for all items/merchandise left overnight. Portobello West is not responsible for any missing and/or damaged items/merchandise. Please bring a cloth to cover your vendor booth/table overnight.

Is wireless internet provided?
Wireless internet may or may not be provided, depending on both the venue and location.

Is there a till system?
You are responsible for your own payment system. Square is a commonly used system by vendors. Portobello West does not provide vendors with cash for till, debit or credit card collection.

What is my responsibility in advertising the market?
As per your booking agreement, it is mandatory that you contribute to the promotion of Portobello West Market on all personal/business platforms, including: website, Instagram, Facebook, Twitter, LinkedIn, blog, newsletter, email blast, etc… You must include the Portobello West handle @portobellowest + hashtags: #portobellowest #portobellowesting #shopportobellowest #portobellowestmarket when posting/sharing to social media feeds, as well as stories. Don’t forget that word of mouth is still the best advertising campaign around, so please make sure to spread the word to all your friends, family, neighbours, and colleagues!
